IT and Marketing Assistant

Overview: We are looking for an IT and Marketing Assistant to join our dynamic marketing and IT teams. This role involves managing company events, overseeing the company intranet, and leveraging the ALB practice management system to drive marketing and IT initiatives.
The IT and Marketing Assistant will collaborate with various departments to support internal communications, streamline workflows, and implement data-driven marketing strategies.
Additionally, this position will provide general IT support, training, and assist with technological advancements within the firm, including the use of AI.
Key Responsibilities
General marketing and IT assistance
- Provide dedicated, day-to-day support to the Marketing and IT departments, assisting with a wide range of tasks as directed. Responsibilities include handling administrative duties, troubleshooting issues, and performing diverse tasks to meet the daily and evolving needs of both teams.
Event Management:
- Plan, coordinate, and execute both internal and external events, including conferences, seminars, careers fairs, webinars, and sponsorships.
- Manage all event logistics, such as venue booking, catering, fee earner participation, attendee communication, and post-event reporting.
- Collaborate with the design and content team to develop promotional materials that align with company branding.
- Track event budgets and create reports on return on investment (ROI) for each event.
Intranet Management:
- Oversee the day-to-day management of the company intranet, ensuring content is regularly updated and relevant.
- Work with HR and internal teams to create engaging content that enhances internal communication and promotes company culture.
- Develop strategies to increase employee engagement and utilisation of the intranet as a central information hub.
ALB Utilisation for Marketing:
- Leverage ALB data to support targeted marketing campaigns and lead generation.
- Collaborate with fee earners and IT to improve lead targeting and nurturing strategies using ALB insights.
- Analyse ALB data to deliver actionable insights that enhance marketing campaign effectiveness and increase ROI.
General IT Support:
- Respond to general IT queries and troubleshooting requests, working with external IT support as necessary.
- Monitor Rapid7 vulnerability software to ensure security compliance and perform updates as needed.
- Oversee the Mimecast email security system, including releasing emails and setting up user awareness training programs within the system.
- Provide IT training for new staff members, with ongoing follow-up training sessions.
- Set up and manage the company’s email signature software.
- Help develop and implement AI technology solutions within the firm to enhance efficiency and innovation.
- Assist with the streamlining and optimisation of the firm’s practice management software.
ALB Practice Management System:
- Address ALB system issues, liaising with the IT Director to resolve them.
- Create and edit templates, precedents, agendas, and workflows within ALB.
- Develop “how-to” documentation and training videos for ALB users.
- Organise regular training sessions to ensure staff are proficient in using ALB.
- Work closely with the IT Director to roll out new IT features and projects, such as LaserForm Hub.
